Job Description

LAN Associates, Engineering, Planning, Architecture, Surveying, Inc., (“LAN”) is a mid-sized multi-disciplined architectural and engineering firm. We are seeking a full-time Administrative Assistant to work alongside our marketing department! This position is an opportunity to develop new skills and contribute to many facets of the AEC industry with a focus on proposals and supporting marketing initiatives.

This role will require strong organizational skills, ability to communicate well, and someone who enjoys multi-tasking. AEC industry experience is preferred, but not a must. The candidate should be experienced or interested in Adobe InDesign and have an eye for graphic design, as well as have the ability to copy edit writing for spelling and grammar.  You should have familiarity and comfort working with CRM software.

Responsibilities:

  • Obtain RFP/RFQ’s upon solicitation, manage proposal list for the firm, and assign proposal numbers
  • Support proposal (RFP/RFQ’s) efforts alongside the marketing team in acquiring new business including prospect research, formatting RFP’s/RFQ’s, submission follow up
  • Support development of staff resumes, project descriptions, proposal templates, as well as coordination for teaming with sub-consultants
  • Visually enhance marketing collateral including proposals, presentations, and social media posts
  • Review and proofread copy for proposals and other marketing materials
  • Update Cosential CRM contacts and company information
  • Coordinate tradeshows registration for conferences, hotels, travel, etc.
  • Coordinate ad/sponsorship registration and forms
  • Coordinate event registration for staff attending business development events and seminars
  • Support research and purchasing company promotional items

Skill Set:

  • Proficient with Word processing software;
  • Skilled in Adobe Creative Suite a plus (InDesign & Photoshop);
  • Have an eye and interest in graphic design;
  • Photo editing a major plus, video editing a plus;
  • Experience in the AEC industry a major plus

Education/Certification Requirements:

  • May hold an associate’s or bachelor’s degree; no degree required
