- Position - Marketing/Proposal Manager
- Location - Midland Park, NJ
LAN Associates, Engineering, Planning, Architecture, Surveying, Inc., (“LAN”) is a mid-sized multi-disciplined architectural and engineering firm. We are seeking a full-time Marketing/Proposal Manager to join our marketing department!
This position is responsible for overseeing proposal efforts and leading RFP/RFQ pursuits for the company, as well as leading management and strategic direction of the firm’s CRM. In addition to new business/proposal responsibilities, you will be actively involved in the firm’s marketing initiatives and contribute to the firm’s marketing goals. You will report to the Assistant Vice President of Marketing.
This role requires exceptional organizational and time management skills, strong leadership and communication, someone who is creative and curious, with an eye for design and layout. You are a collaborative team member, thrive on multi-tasking, and are meticulously attentive to details. You must be proficient in Adobe InDesign and have strong writing skills.

Responsibilities:
- Manage and coordinate firmwide proposal activities
- Review daily solicitations and work in tandem with technical staff to determine go/no decisions
- Manage the entire proposal process, including kick-off meetings, developing proposal outlines, coordinating deadlines, research, design/formatting, and working closely with technical staff on crafting compelling copy to assemble high quality designed RFP submissions
- Coordinate sub-consultant materials for pursuits, as required
- Ensure back-end proposal requirements are met by working with proposal administrative team so proposals are compliant and delivered on time
- Lead coordination and develop shortlist presentations with project teams during the interview phase
- Develop qualification packages for prospective clients and leads
- Manage and organize database of pertinent proposal information
- Support managing the firm’s CRM
- Update pipeline stages and fees, QA/QC opportunity data, follow up on pending proposals
- Provide monthly CRM reporting, analytics, and trends to leadership & AVP, Marketing
- Support management of tracking leads and business development activity
- Actively lead and support ongoing Marketing tasks
- Create and update project experience marketing sheets
- Update staff resumes and project experience for strategic pursuits
- Support communication efforts as needed and have a working knowledge of these responsibilities
- Involved in annual marketing plan goals and initiatives
Skill Set:
- Strong leadership skills, strategic mindset, exceptional time management, and can work under strict and changing deadlines
- Fully competent in Adobe Creative Suite (InDesign required)
- Proficient in Word processing software
- Strong graphic design skills
- Excellent knowledge of database/CRM concepts (Cosential/Unanet a plus)
- Good mentoring abilities and leadership/managerial skills
- Knowledge of AEC marketing fundamentals
Education/Certification Requirements:
- Bachelor’s Degree
- 5+ Years of Experience in Proposal Coordination (AEC Industry preferred)
